Privacy notice

In line with the UK General Data Protection Regulation (GDPR), there are certain things that we need to let you, a research participant, know about how your information will be processed. In this privacy notice, we explain the legal basis for data processing, who will have access to your personal data, how your data will be used, stored and deleted and who you can contact with a query or a complaint.

What is the legal basis for processing my data?

The Department for Education are the data controller for this project. This means that they are responsible for deciding the purpose and legal basis for processing data. For this project, the legal basis for processing data is “public task”.

You can contact the Department for Education with any questions about the research at EY.analysisandresearch@education.gov.uk.

The National Centre for Social Research (NatCen) and Frontier Economics are data processors for this project (see below).

Who will have access to my personal data?

The National Centre for Social Research (NatCen) and Frontier Economics are carrying out this research and will have access to the sample files that include the name and address of the childcare provider as well as details of the email address, phone number and/or named contact person provided when you/your setting completed the previous survey and agreed to be recontacted for future research.

NatCen and Frontier Economics will also have access to your answers to the survey. All responses will be anonymised before being analysed, passed to the Department for Education or archived.

Formara Print+ are the printing company who are printing the survey materials for the project. They will have had access to the contact details for the setting in order to send letters inviting you to take part. As an approved supplier, Formara Print+ are compliant with all of NatCen’s information security policies and data protection legislation.

How will my survey answers be treated?

The results collected are used for research purposes only. The data will be used to produce tables and a report for publication.  The findings will be presented in a way that means no individual setting can be identified.

All data will be anonymised before being passed on to the Department for Education. Your personal information will be securely deleted once the project is complete.

You have the right to contact NatCen to request that your data be deleted at any point up until the end of January 2022.  After this point all data will be analysed in a way that means it is no longer possible to identify individual settings.

Under GDPR, you have the right to lodge a complaint with the Information Commissioner’s Office at www.ico.org.uk.

You also have to right to have your survey answers deleted. If you have taken part in the survey but would like to withdraw your data, please contact childcaresurvey@natcen.ac.uk with your unique reference number, which can be found at the top of any letters or emails you have received about the survey.
